Paper-based and digital connection cards had the same problem: who should they go to? The digital connection card was rarely used, bloated and simply sent to the general inbox where it invetiably got lost or was forwarded to someone with a single question, “Is this you?”. There was no tracking and zero accountability to ensure guests received the care and attention they deserved. Potential members left as easily as they came, not because the organization didn’t care, but because the system was inefficient.

Our Approach

We built an integrated workflow and custom application, that connects their web-based connection card directly to the follow-up app. When a guest submits their information, it’s automatically organized, categorized, and routed to the appropriate staff member with full context. The guest also receives customized messages, follow-up messages, and more, directly related to their input. The entire system allows for granular control of tasks and re-assignment, with automated reminders and notifications.

Member data lived in a single spreadsheet—names, numbers, and addresses all crammed into one column, with a few additional columns tracking balances and expenditures. There was no easy way to get that information to members through the portal, and manually re-entering everything wasn’t realistic. Our client needed a way to make the data accessible without rebuilding their entire system.

Our Approach

We built a custom integration that worked with the exact data structure they already had. The system extracts member IDs and balances from the spreadsheet, matches them to the correct member accounts on the website, and keeps everything synchronized automatically. Using webhooks and triggers, the data updates each time the spreadsheet is saved—no manual intervention, no duplicate entry. The integration also dynamically creates new member categories as the roster grows, so it scales naturally without requiring ongoing configuration.
